About the project.
The client was a financial services company processing thousands of invoices, onboarding forms, contracts, and compliance documents each month. These documents contained critical business information required for customer onboarding, financial operations, internal approvals, and regulatory compliance.
The existing document processing workflow relied heavily on manual review, data entry, document categorization, and verification across multiple departments. As document volumes increased, these processes created operational bottlenecks, increased the risk of data entry inconsistencies, and delayed downstream business activities.
The client required an AI-powered document processing solution capable of automatically classifying incoming documents, extracting relevant information, validating extracted data, and routing records into the appropriate business workflows.
Profilent designed an intelligent document processing platform combining OCR, natural language processing, AI-based classification, structured data extraction, and workflow automation. The solution also introduced searchable document records and integration capabilities to help employees retrieve information more efficiently and reduce repetitive administrative work.
Primary Objective: Automate document intake, information extraction, validation, classification, and downstream processing.
Business Goal: Improve document processing efficiency, data consistency, information accessibility, and workflow scalability.
Key Challenges in Manual Document Processing
Understanding the operational friction was the first step toward building a solution that fits the real work.
High-Volume Manual Document Processing: Employees manually reviewed invoices, onboarding forms, contracts, and compliance documents before entering information into internal systems. Processing large document volumes consumed significant administrative time and limited operational throughput.
Unstructured and Inconsistent Document Formats: Incoming documents varied in layout, file format, structure, and information placement. Extracting consistent data from scanned PDFs, digital documents, and image-based files required repetitive manual review.
Data Entry Errors and Validation Challenges: Manually transferring information such as invoice numbers, customer details, dates, financial amounts, and identification fields increased the risk of transcription errors, missing values, and inconsistent records.
Slow Document Verification and Approval: Extracted information had to be reviewed and verified before it could be used in downstream workflows. Delays in document validation affected customer onboarding, invoice processing, compliance reviews, and internal approvals.
Limited Document Search and Retrieval: Employees lacked a unified method for locating specific information across large document archives. Retrieving records required manual browsing, keyword searches across disconnected repositories, or assistance from other departments.
Disconnected Business Systems: Document information needed to move between document repositories, internal databases, and business applications. Without structured automation, employees had to repeat data entry and coordinate information transfers manually.
Limited Exception Handling and Auditability: Documents with missing fields, unreadable scans, conflicting values, or incomplete information required manual investigation. The client needed a more structured process for identifying exceptions and tracking verification activities.
Our AI-Powered Document Processing Solution
Profilent developed an AI-powered document intelligence platform to automate the document processing lifecycle, from file intake and classification to information extraction, validation, indexing, and downstream workflow execution.
The solution combined OCR technology, AI-based document understanding, structured extraction pipelines, configurable validation rules, and business system integrations. It was designed to process different document types through a consistent workflow while directing uncertain or incomplete records to human review.
Automated Document Intake and Classification: We designed a document ingestion workflow to receive files from configured upload channels and supported business systems. The classification component identified document categories, such as invoices, onboarding forms, contracts, and compliance records, and routed them to the appropriate processing workflow.
Technical implementation:
Supported common document formats, including PDF and image files.
Applied document preprocessing to improve readability where required.
Used OCR and AI-based classification to identify document types.
Routed classified documents to category-specific extraction workflows.
Maintained document identifiers and processing statuses for traceability.
Use case: When an invoice or onboarding form enters the processing pipeline, the system identifies its document category and selects the corresponding extraction and validation rules automatically.
AI-Powered Data Extraction: We implemented structured information extraction to capture relevant fields from different document layouts, reducing the need for manual data entry.
Technical implementation:
Extracted text from scanned and digitally generated documents using OCR.
Identified relevant fields using document structure, contextual language, and AI-based extraction.
Converted extracted information into structured JSON records.
Normalized dates, currency values, identifiers, and other supported fields.
Preserved links between extracted records and their source documents for review.
Use case: For invoice processing, the system can extract supplier names, invoice numbers, issue dates, due dates, subtotal values, tax amounts, and total amounts into a structured record for validation and downstream processing.
Automated Data Validation and Human Review: We designed a validation layer to check extracted information against predefined business rules and available reference data before accepting records into downstream workflows.
Technical implementation:
Checked required fields and expected data formats.
Validated numerical relationships, such as invoice totals and component amounts, where applicable.
Flagged missing information, inconsistent values, and low-confidence extraction results.
Routed exceptions to authorized personnel for review and correction.
Supported a review process before sensitive or consequential business actions were completed.
Use case: If an invoice contains an unreadable invoice number, an inconsistent total, or a missing supplier identifier, the system flags the record for human verification instead of processing it as fully validated.
Automated Document Workflow Processing: We connected document extraction and validation with downstream business processes to reduce repetitive administrative handoffs.
Technical implementation:
Triggered subsequent workflow steps after successful extraction and validation.
Routed records according to document category and configured business rules.
Integrated with supported internal applications through APIs or workflow connectors.
Updated processing statuses and captured workflow outcomes.
Supported exception paths for failed integrations or incomplete records.
Use case: Once an invoice has passed validation, the workflow can send its structured data to a connected finance or accounting system for the next processing step. Documents requiring additional approval remain in a review state until the required action is completed.
Intelligent Document Search and Retrieval: We introduced a centralized search capability to make document records and their extracted information easier to locate.
Technical implementation:
Indexed document metadata and extracted text.
Supported searches using available fields such as document type, supplier, customer identifier, date, and reference number.
Organized document records with links to their original files.
Used semantic search where appropriate to support searches based on document meaning rather than exact keyword matches.
Applied access controls appropriate to the connected document repository and user permissions.
Use case: An authorized employee can search for an invoice using a supplier name, invoice reference, or relevant phrase and retrieve matching records without manually opening every document.
Processing Monitoring and Audit Trails: We designed workflow monitoring capabilities to improve visibility into processing progress, failures, and records awaiting human review.
Technical implementation:
Tracked document processing states, from ingestion to completion.
Recorded processing errors and validation exceptions.
Maintained relevant timestamps and document references.
Exposed pending reviews and failed processing tasks for investigation.
Supported traceability across extraction, validation, and integration steps.
Use case: Operations personnel can identify documents stuck in processing, investigate failed extraction or integration steps, and route unresolved cases for corrective action.
